Moving, Renaming, Assigning Metadata using natural language prompts and Securing AI Agent activity.
In Laserfiche Cloud, you can now ask Laserfiche AI to change metadata on entries, rename documents and folders, create folders and move documents in bulk, as well as other tasks using natural language instructions. This is especially useful for those one-time situations where building a workflow would not be as efficient or timely.
And, Laserfiche Cloud AI Agent functionality is limited to the same Laserfiche Security that the user already has in the repository, since agent actions are undertaken with the currently logged in user’s credentials. And, when an action is performed by a directed agent, the operation will be audited as if performed by the user who prompted the directed agent.
Laserfiche Administrators also can limit the specific funtions to which AI Agents are allowed to undertake.
Let’s take a look!
Laserfiche AI Agent Functions: Limiting what it can do in the system.
Administrators can enable or disable AI features in the repository settings, which can affect how AI Agents operate. This is done in the Repository Administration settings under the General tab.
Go to Repository Administration > General > Show Advanced
Scroll down to the AI Feature Controls section.

With the “Enable agent mode for Smart Chat” check box selected, AI Agent capabilities are available to the use while in the Smart Chat window.
To start using AI Smart Chat or Smart Agent in Laserfiche Cloud, users will click on the “stars” icon at the top right of the screen.

Then, at the bottom of the Smart Chat window, the user will be able to switch between Ask mode and Agent mode.

With the Ask/Agent toggle in the lower right of the chat window switched to “Agent” you can ask the AI agent to perform actions such as searching for documents or folders, moving documents, adding templates or tags, updating field values or creating shortcuts. If you previously asked questions about documents in the same chat, without clearing the chat history, you can reference those questions and answers in your prompt.
For example, you might have posed a question in “Agent” mode, “Find all I-9 documents in the Human Resources folder”. Then, with the results lists (limited to 1000 entries) you might type in “Assign the template “Human Resources” to all the documents just listed”.
Note: the AI Agent cannot assign values to just one field. However, if you have setup Smart Fields in the related template, the value may get populated automatically. We’ll have a future blog article covering Smart Fields and Smart Templates Configuration and Tips.

If the user has rights to “Write Metadata” within the folder structures in which the documents are to be modified, the AI Agent will do this action. It does this action as the logged in user. In other words, if the user can do the action normally, then the AI Agent will also be able to do the action as instructed in the Smart Chat window.
Auditing: When auditing changes to entries, the changes will show as having been made by that user, not AI.
AI Agent in Smart Chat is easy and natural and is a great way to manage content in your Laserfiche Cloud repository.
