Create an Import Profile and Save Time

In the Laserfiche Windows Client or Web Client and Cloud, you can configure Laserfiche Import Profiles to automate the naming, indexing and storage of documents in Laserfiche. When manually importing a document, import profiles can help speed up the process by quickly setting document properties like the template assigned, folder to be stored, and even document re-naming, if so desired.


Import Profiles are supported in the Laserfiche Web Client and Windows Desktop client, as well as in Laserfiche Cloud.


Let’s take a look!


To set up an Import Profile, navigate to the Options>New Document>Import Profile configurator for your Laserfiche environment

Optional: Use a pattern in your file names to create tokens for naming and filing settings.

If you have used the “Import based on file name” option, the tokens are available in the Document name and Document location areas.

Each profile will have some filing options to configure. The Document Name and Document Location should be set, but the Template is optional.

An example of token use is shown below, where we do the following:

  1. Use three parts of a file name to rename the document when it is stored in the Laserfiche repository.

  2. In addition, we will use one of the tokens, the Name token, to generate the subfolder into which the renamed document will be stored.

  3. And finally, we are applying the “Accounting” template to the document. We can’t use the tokens to apply a field value, however.

Upon manually importing a document through the Laserfiche client, the import dialog appears. At this point, we would select the Import Profile, which we have named “Qrtrly Reports”. Notice in the sequence of images below that upon choosing the profile, the name changes and the template gets assigned, immediately!


**Note that the file being imported should have the same pattern as we indicated in the configuration, otherwise the document will not be named properly and probably won’t file as expected.

Below we can see the renamed document and the folder in which it was stored. You can see the template was applied, as well.

In this next example, we’ll use the Laserfiche Web Client to import a Water District Pump Log file. Again, we’ll use the “Import based on file name” tokens to rename the document and generate a dynamic filing path.


Notice the four custom tokens: “pump”, “mon”, “year_” and “DocType”.

If you so desire, you can even set your Import  Profile as the default, so that you don’t have to select it in the import dialog.

The image below shows the log file that we want to import.

Notice that the document name uses the custom field for the pump number, and then at the end, the standard Laserfiche date/time value is added after the word, uploaded. In addition, the folder path uses three other custom tokens to define the folder path under the \Test folder.

Below, you can see the renamed document residing in the prescribed folder.
