- DocuSign Integration - v4.0.0
Integration Update: DocuSign Integration v4.0.0 Change/Update: DocuSign SSO Accounts are now supported by the Desktop and Web Client Integrations. Envelope History tab in the Web Client displays the full audit data of the associated DocuSign Envelope for the selected document. DocuSign Envelopes can be edited from the Laserfiche Desktop and Web Clients. Benefit(s) & Advantages The integrations now offer more flexibility when authenticating to DocuSign. Users are able to sign in with either DocuSign Credentials or a federated DocuSign SSO account. Users are able to view envelope history information directly within the Laserfiche Web Client. Additional template field configurations provide more flexibility when sending envelopes from the Laserfiche Desktop or Web Clients. This month’s spotlight shines bright one of CDI's most experienced Business Process Consultants, Ron Race. Ron, how long have you been at CDI, and what responsibilities do you have? "I started at CDI as a consultant back in January of 2011, I’m currently a Business Process Consultant. My job allows me to work directly with our CDI clients to build out and troubleshoot their Laserfiche systems." Tell us about yourself "I have 3 kids as well as a dog Daisy who is a bassador (Labrador basset hound mix). As a family, we enjoy hiking/camping. My wife and I enjoy traveling whenever possible. I have a Bachelors's degree in Computer Information Systems." What are 3 items on your desk and why are they there? "I can’t remember anymore since I haven’t seen my office desk in a month 😊. My workspace currently consists of an old kitchen table in my basement. Currently with a coffee mug and a pile of towels that needs to be put away. Crazy time right now." What is the best part of your job? “I really enjoy assisting our clients and providing a process/system that they are excited about. ” Thank you for sharing a bit more about yourself with us, Ron! - Consultant's Corner: Copying and Pasting Elements Between Forms Business Processes
As of version 10.4, Laserfiche Forms supports the copying and pasting of Process Design elements within a process, or onto another business process. Unfortunately, it does not allow copying of forms or forms elements between processes, which is what we all want! Below, CDI’s Software Trainer, Kyle Knebel, will quickly guide you on how to easily copy and paste elements between your Forms Business processes. To begin, Forms process elements are things like Start Message Event, Exclusive Gateways, Service Tasks, etc. To Copy elements, you will navigate to the process diagram page on the left-pane of the process. Then press and hold the CTRL key and click over the elements you want to copy, like the Message Start Event, Gateways, and User tasks. Once selected press CTRL-C or right-click the elements and select Copy. You will see a confirmation message at the top of the screen: To Paste, press CTRL-V in the process designer screen. As you paste the element(s), they will appear as a hovering group with a hand icon. Position the element(s) on the process design screen and then click the left mouse button to drop the element(s). You can then arrange the individual actions on the design grid as normal. The elements will appear as normal once pasted. They are now ready to be individually edited. That’s it, simple! Thank you, Kyle! It’s quick tips like this that can help save readers a lot of time by using faster and more efficient methods of duplicating elements between Forms business processes. This month’s spotlight shines bright on CDI's Business Process Consultant, Jessica Zuchowski. Jessica, how long have you been at CDI, and what responsibilities do you have? "I’ve been a Business Process Consultant since the beginning of March and am excited to be part of this great team. I enjoy working on software implementation and configuration projects, which allow me to engage with multiple teams, from development to end-users. I have a lot of fun learning new tools, especially in an environment where I can help others learn as well and we can solve technical problems together. Those are some of the core responsibilities of the Consulting department, which is why I was drawn to this awesome team at CDI.” Can you tell us more about yourself? "I live in the Greater Seattle Area with my husband and our dog, a retired racing greyhound named Roman. We all enjoy hiking and exploring new outdoor spaces, and I like to take macro photos of plants and mushrooms while I’m out. While at home, I try to spend my time cooking, playing video games, working on small craft projects, and tending to houseplants. " Is there anything about you that your clients wouldn't believe or would be surprised to know about you? “I collect insects. I’ve always been fascinated by the elaborate details and intricate articulations displayed in such small creatures. I have some pretty cool exotic bugs hanging on my walls that I’ve purchased throughout the years. When I find new bugs closer to home, I have fun researching them to figure out the scientific classification and learn about their ecology. ” Thank you for sharing your story with us, Jessica! Each month the CDI Employee Spotlight showcases individual CDI staff members, highlighting not only their tireless work contributions but also who they are as a person. This month’s spotlight shines bright on CDI's busiest and most versatile Executive Assitant, our new employee, Autumn O'Brien. Autumn, how long have you been at CDI, and what responsibilities do you have? "I have been with CDI for about a month and a half and my role is an Executive Assistant at the Seattle office. I work primarily with Patrick and the other executives and assist with their travel arrangements, coordinating the details of tradeshows and conferences, and managing the in-house Service Bureau. Each week I am tasked with something new, and have been enjoying learning the ins and outs of the company.” Can you tell us more about yourself? "I was born and raised in Idaho and attended the University of Idaho, where I obtained my bachelor's degree before moving to Seattle. I have been in the Pacific Northwest for three years, and enjoy the fast pace of the city, but also getting out and exploring all of the beautiful trails with my dog Chief. I enjoy going to concerts on the weekends; last year I saw over 40 different artists. I love the atmosphere of a live show. I also am an avid baker, and love to try out new recipes and modify them to make them my own, then getting to share the end product with my close friends." Is there anything about you that your clients wouldn't believe or would be surprised to know about you? “I was raised in a small farming town in Idaho, so moving to Seattle was a huge culture shock to me. My town was so small that we had one gas station, two restaurants, no stoplights, and a “traffic jam” was often just a farmer moving his tractor and equipment through town. Teaching myself to drive in the crazy Seattle traffic was a challenge, as was learning how to navigate our crazy roundabouts, six-way stops, and crazy intersections. - Consultant's Corner: Entry Access Rights Searches
This month’s Consultant’s Corner article focuses on the search feature, Advanced Searches on Entry Access Rights. This search feature was first made available in version 10.3. Below CDI’s Software Trainer, Kyle Knebel, will walk you through how to locate entries with specific Entry Access Rights directly assigned to them. *Please note, these searches do not return entries that inherit the specified entry access rights. Let’s begin. An Advanced Searchis accomplished by using the Search Syntax box in the Windows or the Web client. Security searches are not currently available in the User Interface (UI). Web Client: Windows Client (check the box to Include search syntax in query): Here are four example searches that might be useful: 1. Finding entries where trusteename has security assigned to them (or denied to them). This search uses trusteein order to find all entries where the user is explicitly assigned. For example, let’s find entries where the user Jane is explicitly assigned to entries. The syntax would be: {LFACE:trustee="Jane"} Or, let’s find entries where the group LFUsers is explicitly assigned to entries. The syntax would be: {LFACE:trustee="LFUsers"} Finally, if you wanted to find all entries where an entry access right of either Allow or Deny is explicitly granted the syntax would be: {LFACE:type = “*”} 2. Finding entries where security is allowedor denied to a user or group. This search uses trustee and typein order to find all entries where an entry access right is either allowedor denied. For example, let’s find entries where the user Jane is explicitly denied on entries. The syntax would be: {LFACE:trustee="Jane", type="Deny"} Or, let’s find entries where the group LFUsers is explicitly allowed on entries. The syntax would be: {LFACE:trustee="LFUsers", type="Allow"} 3. Finding entries explicitly assigned with the specified scope (regardless if allowed or denied). This search uses scope to find entries with the indicated scope(s). There are nine scope types available. The most commonly used is all, which will find the scope of This folder, subfolders, and documents. The syntax would be: {LFACE:scope = “all”} Or you can use notthisentry, which will find the scope of Subfolders and documents only. The syntax would be: {LFACE:scope = “notthisentry”} Here’s the list of all the scope types available in this search syntax: documentsonly: Documents only thisentry: This entry only folders: This folder and subfolders foldersonly: Subfolders only immediate: This folder and its immediate children immediatechildren: Immediate children only immediatedocuments: Documents that are immediate children only notthisentry: Subfolders and documents only all: This folder, subfolders, and documents 4. Finding entries where a trustee is granted or denied any combination of rights. To find entries that are assigned both the Browse right and the Read right, and that may also have other rights, the syntax would be: {LFACE:rights = “BrsRea*”} To find entries where the explicitly assigned entry access rights are anything other than exactly and only the Read and Browse rights (entries with explicitly assigned rights in addition to both the Read and Browse rights will be included in the results) , the syntax would be: {LFACE:rights <> “BrsRea”} To find entries where users who are not the ADMIN user have not been explicitly assigned any rights, the syntax would be: {LFACE:rights = “---“, trustee<>”ADMIN”} Here’s the list of all the three-character strings available in this search syntax: brs: Browse rea: Read mcn: Modify Contents ada: Append Data del: Delete Entry ren: Rename dpg: Delete Document Pages san: See Annotations ann: Annotate red: See Through Redactions wme: Write Metadata crd: Create Documents crf: Create Folders rac: Read Entry Security wac: Write Entry Security cow: Change Entry Owner srd: Set Last Review Date frz: Freeze/Unfreeze evt: Set Event Date cls: Close/Reopen Folder ---: (three dashes) indicates that no rights have been explicitly assigned. Be sure to try out these unique searches the next time you want to find entries based on which trustees have entry access rights assigned to them for an entry, the specific entry access rights involved, whether the right is allowed or denied, or the scope of that right. - Pre-Fill Laserfiche Form Fields With Data Using Laserfiche Connector
In this month’s article, CDI’s Software Trainer, Kyle Knebel, will review how to use Laserfiche Connector to pre-fill field values in a Laserfiche Form. Laserfiche Connector can capture data from a screen or application and use it for many purposes. In this three-part example, we will use that data to open a Laserfiche Form and pre-fill the fields with the data captured by Connector. Let’s begin. Part 1: Create the new Connector Profile, as described below. 1. Add a new profile. From the hidden icons on your taskbar, right-click on the plug icon, then choose Add Profile… 2. Name the Profile and set the Action. We will call this profile Forms Pre-Fill and set the action to Launch a website. Part 2: Capture the data from your source, as described below. In this example, we are using the Laserfiche Web Client and we will be capturing the First Name and Last Name values from the template assigned to the client folder. 1. Click the Add Source Application button. 2. Drag the target icon (reticle) to the application (our Web Client, in this case) until the application is surrounded by a red outline, then release. 3. Set the Get Information configuration: i. Set the Apply profile to radio button to This page only (#1) ii. Edit the page URL and put the dot asterisk “,*” after the repository name in the URL string. This will set the button to work only when you are logged into this Laserfiche repository (#2). iii. Press Save (#3). Connector will analyze the website before proceeding to the next step. 4. Next, we need to define the tokens with which to gather data. As shown below, drag the Token capture icon (#1) and drop it on the first field that will provide the data. Click the Add token link (#2) for each additional field token that you want to capture. First field to be captured: Change the name of the token to reflect what information it is capturing. Next, we are going to add the 2nd token. Now we have two tokens to use next: Part 3: Specify and open the Forms website and insert the pre-filled data, as described below. 1. Set the URL and insert the tokens as parameters. In the URL you can put tokens that are used to fill in the Form fields. For Laserfiche Forms, each field has an name. We want to fill in the field called Name. We use the “?” to indicate a parameter value is being used on the web page. 2. Set the icon size and keyboard shortcuts (optional), then test the profile. 3. Press the Test button to check that the metadata is grabbed from the selected screen. 4. Press the Finish button to save the profile. The button will now launch a Form from the Web Client folder you are viewing and fill in the information. You can extend this functionality to any fillable web page by using the steps outlined above. If you need to fill out more fields on the form, simply add more tokens during the Get Information step. Pre-filled fields with the data captured by Connector complete. Note: Please be aware the Chrome browsers need some additional command-line configuration, which is outlined in the Laserfiche Online help files. Thanks, Kyle! Each month the CDI Employee Spotlight showcases individual CDI staff members, highlighting not only their tireless work contributions but also who they are as a person. This month’s spotlight shines bright on one of our busiest and well-known team members, Kelsey John. Kelsey, how long have you been at CDI, and what responsibilities do you have? “I am the Client Services Coordinator here at CDI in the Hudson, WI office and have been with the company three years this June. As the Client Services Coordinator I receive and assign out meetings and project requests for our Support, Consulting and Development team. I manage the team's calendars and meetings so chances are if you have scheduled a meeting, you have worked with me to do so. I also do a few other tasks here and there such as reporting, but the majority of my day is spent responding to emails and coordinating meetings.” Can you tell us more about yourself? "I have two children, ages 7 and 5, who keep me pretty busy. In between work, time with the kids and family, I take every opportunity to travel whether it’s a large or small trip. I am in the midst of planning a big trip to Norway to see some family and explore family history in the next year or so.” Is there anything about you that your clients wouldn't believe or would be surprised to know about you? “I am currently in a walking boot for two weeks due to attempting a new trick in Ariel Silks. Needless to say, the trick didn’t go as planned. No broken bones, just an extreme sprain with a very swollen and entirely bruised foot/ankle/lower calf. Also, my children and I are living with my parents as we wrap up remodeling a home I purchased two years ago. We completely gutted it, added on a large addition and are doing the majority of the construction ourselves so it has taken quite some time to get to this point. Getting excited as we are in the fun stages of painting!” What is the best part of your job here at CDI? “I love working with a variety of people and trying to figure out the daily puzzle of calendar scheduling.” What is the most challenging part of your job here at CDI? "Sometimes keeping up with the requests and fitting people into a packed calendar can be challenging." Thanks, Kelsey!
